This Privacy Policy explains how Flysoft Systems GmbH (“Flysoft”, “we”, “us”, or “our”) collects, uses, and shares information when you use the Flysoft Manager mobile application and related services that connect to flysoft.restaurant (together, the “Service”). The app currently provides restaurant reservation management and menu management features and may expand with additional capabilities.

We process personal data as described in this Policy to provide, operate, secure, and improve the Service and to comply with applicable laws. Where required, we obtain your consent (for example, for optional features). By using the Service, your information will be handled as set out in this Policy.

By using the Flysoft Manager app, you acknowledge this Policy. Where we rely on consent (for example, for certain optional features), you can withdraw your consent at any time.

Information We Collect

We collect several types of information to enable and improve the Service:
Account Information
When you register or are invited by your restaurant administrator, we may collect your name, email address, role, and authentication details. You may optionally provide this information through third-party sign-in services (if enabled in the future); in such cases, we store whatever information you have permitted those services to share with us.
Reservation Information
To manage reservations between restaurant guests and restaurant staff, we collect details such as guest name, contact details, party size, reservation date and time, table preferences, internal notes, cancellation reasons, and notes provided by the guest or staff. When staff enter reservations from calls or emails, they are responsible for ensuring they have the necessary permission from the guest to submit that data.
Menu and Media Content
For menu items, we process item name, description, category, price, dietary tags, availability statuses, and any associated images or media you upload. We also log the administrative actions performed on menu items, including creation, edits, and deletions.
Device and Usage Data
We may collect technical data such as device type, operating system version, app version, language, crash logs, and basic usage events such as reservation creation, updates, and deletions to support auditing and troubleshooting.

Media and Reservation Data Sharing

We do not sell personal data. Information collected through the Flysoft Manager app is not shared with third parties except trusted processors that host, transmit, or store the application on our behalf under contractual safeguards. We do not use third-party advertising SDKs.

How Do We Use Your Information?

We use the information we collect to:

  • Provide, operate, and maintain the Service.
  • Process reservation requests and manage menu items and associated content.
  • Improve, personalize, and expand the Service.
  • Understand and analyze how you use the Service.
  • Develop new features and functionality.

Data Retention

We retain account and operational records for as long as your Flysoft account remains active or as needed to provide the service and comply with legal or operational requirements. Reservation and menu administration logs may be retained longer to support reporting, dispute resolution, or compliance. You can request deletion of applicable data by contacting us, subject to any legal obligations we must meet. Data deletion: You can request deletion of your account and associated personal data at any time by emailing privacy@flysoft.restaurant. If legal obligations require retention, we will restrict or delete data accordingly.

Where required, we rely on one or more of the following legal bases: your consent; performance of a contract (providing the Service to your organization); compliance with legal obligations; and our legitimate interests in operating, securing, and improving the Service.
